1. Overview

Sidout LLC ("we," "us," "our") operates the Sidout platform at sidout.com and related subdomains. This Privacy Policy explains how we collect, use, store, and protect personal information when you use our volleyball league and tournament management platform ("the Platform").

2. Information We Collect

Information provided by Facility Operators:

Facility name, contact name, email address, phone number, billing information (processed by Stripe), and league configuration data including division names, pricing, and scheduling preferences.

Information provided by End Users (players, captains, refs):

Name, phone number, email address, skill level, format preference, night preference, team affiliation, and any notes voluntarily provided during registration.

Information collected automatically:

We do not use cookies or tracking pixels. We do not collect browsing history, IP addresses, or device information for advertising purposes. Basic server logs may be retained by our hosting providers (Netlify, Supabase) as part of standard operations.

3. How We Use Your Information

We use personal information solely for the purpose of operating the Platform, which includes: managing league and tournament registrations; displaying team rosters, schedules, and standings; sending SMS notifications about league updates, schedule changes, rainouts, sub requests, and score alerts; sending email communications about league operations; processing registration payments through Stripe; and contacting Facility Operators about their account and service.

4. SMS Communications

We send SMS messages through Twilio to phone numbers provided during registration. Messages include league updates, schedule changes, sub finder alerts, score notifications, and facility announcements. Message frequency varies based on league activity. Standard message and data rates may apply. To opt out of SMS communications, reply STOP to any message. To resume, reply START. For help, reply HELP or contact [email protected].

5. How We Share Your Information

We do not sell, rent, or trade your personal information to third parties. We do not share your data with advertisers. We share information only with the following service providers who assist in operating the Platform:

Supabase — database hosting and storage (your data is stored in a PostgreSQL database hosted on AWS infrastructure); Twilio — SMS message delivery; SendGrid — email delivery; Stripe — payment processing; Netlify — web hosting.

Your Facility Operator has access to all player and team data within their facility's leagues. Player names, team affiliations, and contact information are visible to the Facility Operator's admin team for league management purposes.

Certain information is publicly visible to all users of the Platform, including: team names, player first and last names (on rosters), standings, schedules, and live scores. Phone numbers and email addresses are only visible to Facility Operators and admin users.

6. Data Storage and Security

Your data is stored in a Supabase PostgreSQL database hosted on Amazon Web Services (AWS) infrastructure. We use industry-standard security practices including encrypted connections (HTTPS/TLS), row-level security policies on database tables, and role-based access controls. Payment information is processed directly by Stripe and is never stored on our servers. Database backups are performed daily with 7-day retention.

7. Data Retention

We retain your personal information for as long as the Facility Operator maintains an active account and the league season data remains relevant. Historical season data (past team rosters, standings, schedules) is retained to provide historical records. When a Facility Operator cancels their account, their data is retained for 30 days and then permanently deleted. Individual End Users may request deletion of their personal information at any time by contacting their Facility Operator or emailing us directly at [email protected].

8. Your Rights

You have the right to: request access to the personal information we hold about you; request correction of inaccurate information; request deletion of your personal information; opt out of SMS communications by replying STOP; and withdraw consent for data processing. To exercise any of these rights, contact us at [email protected]. We will respond to requests within 30 days.

9. California Residents (CCPA)

If you are a California resident, you have additional rights under the California Consumer Privacy Act (CCPA), including the right to know what personal information we collect, the right to request deletion, and the right to opt out of the sale of personal information. 10. Children's Privacy

The Platform may be used by Facility Operators to manage junior volleyball leagues for players under 18. Registration for junior players requires parent or guardian consent. Parent/guardian name and contact information are collected alongside the minor's name and age. We do not knowingly collect personal information from children under 13 without parental consent.
